We are using one of the most advanced SPAM filters on the internet.
It continually adapts itself to detect spam.

For the most part it does a good job, but occasionally a spam slips
through.

When you receive a spam, you have a choice to either just delete it
and move on, or report it to the spam filter to help improve its
performance. To report the spam select the message in your inbox,
right-click and select "Forward as attachment." (If your email
software doesn't support "Forward as attachment" simply forward
the mail.) Address it to spam-report@ethreemedia.net and click send.
You've done your duty and added the evil spam to the spam filter's
collection.

Just to remind you of the basic operation of our spam filter:
1) Anyone you email first will never have a message blocked when they send you a message.
2) Never email a spammer -- you validate their address authorizing
them to spam us.
3) Don't forward spam -- it makes the spam filter think we like it.
4) You SHOULD report spam by forwarding it to the notspam@ethreemedia.net
address.
5) The spam filter keeps track of mail we send and spam we receive --
if an incoming message is not from someone we've emailed and it's
more like the mail we send than the spam we receive then it gets
through as per normal. Otherwise it's tagged and the recipient receives the mail,
with the subject line re-written to include a [SPAM] tag.
6) If you become aware that mail you want is being blocked a quick fix is to send the
sender an email so their mail isn't blocked any more.

ANNOUNCEMENT:
As of today, we are no longer using the outdated Spam Assassin program.  We have installed ASSP on the server, and it should blanket protect the entire server from most spam.  This new firewall features many options for whitelisting and blacklisting domains and/or unique senders.  If you experience any problems with not receiving any e-mails, please submit a support ticket at http://www.ethreemedia.net/ticket

FALSE SPAM
If you receive e-mail tagged as [SPAM] by the server, and it is not spam, we want you to report it to us so we can mark the sender as safe.  These are defined as "False Spam" messages.  We have set up a special e-mail address to handle this problem, which should decrease over time as more senders are added to the database.  Forward all e-mails fitting this description to:  notspam@ethreemedia.net, and we will process them within 48 hours.

We have scheduled a 1 GB RAM upgrade on the server to take place overnight on one of the next several days.  I will post here when the upgrade is complete.  This upgrade will bring our total RAM to 2 GB on the server.

As a measure to curb the ever-increasing tide of spam on our server, we have decided to upgrade our spam filtering capability.

We still cannot guarantee to stop ALL spam, but this new system should greatly reduce the load that you receive.

This new measure is now enabled by default on all of our accounts.  In order to deactivate the system for your account(s), you can click on the "Server-wide Spam and Virus Protection" link in the control panel.  This may be advisable in very rare cases where wanted e-mails are somehow being classified as spam.  We do not anticipate that this will be a problem, however.

If you have any questions about how to do that, or if you would like me to handle it for you on your account, you may request it in the support ticket system on ethreemedia.net:  http://www.ethreemedia.net/ticket

In the case that you do not have Spam Assassin already enabled on your account, it is advisable to have that running in tandem with these new measures.  If you have any questions about that as well, please feel free to open a support ticket.

When uploading or downloading files to/from your web site(s) on our server via FTP, we recommend setting your maximum concurrent files to 1.  In so doing, you will avoid temporary blocks from our firewall, which prove rather annoying and counter-productive to your workflow.

Most FTP software allows for you to set this in preferences or option settings.  However, because there are far too many FTP programs used by our clients, we cannot provide instructions for every program.  Please consult the help file for your program if you experience any difficulty in finding this setting for your FTP client.

Why do we do this?  The server will attempt to temporarily block any IP address that is requesting what are interpreted as too many file requests.  A popular method for damaging the performance of a given server on the Internet is to flood the server with such requests.  By interpreting sources of such attacks, the server remains resilient against such attacks.  Unfortunately, FTP programs can appear as an attacker when attempting to simultaneously download or upload multiple files.  By slowing your program down to 1 file at a time, you will help us keep the server safe against this type of attack.

The new hard drive is installed, and functional.  All backups are now onboard the server.

As a point of information, we run daily backups for all hosted accounts on our server.  The backup script maintains a nightly backup until it is over-written on the next week's backup.  What this means in plain English is that your hosted data is pretty safe.  We encourage you to maintain a copy of your files on your own computer as an additional safeguard - we do not guarantee that your data is 100% safe.

As always, you are welcome to download a full home directory backup of your account (includes e-mail, stats, databases, basically everything) in your cpanel.  For information on how to access your cpanel, see this thread.

We have scheduled a maintenance window in order to add a new hard drive to the server this Saturday evening between 11:00 PM and 1:00 AM EST.  During this time, all functions of your hosting account with eThree Media will be disabled - this includes your e-mail, FTP and web site itself.

The addition of this second drive will enable us to move our backup onboard the server - which will both speed and solidify the backup procedure for all of our hosted accounts.  Previously, all backups have been made to a Network Attached Storage drive, which has proven to be difficult to keep connected to the server at all times.  The new drive should take the task of re-mounting the NAS drive off our hands, and therefore provide a more regular, thorough backup for all of our clients.
